What do participating Universities contribute and how can we join in?

The way a university gets involved with SOAR and the responsibilities of the university to the SOAR Rep., SOAR Committee and the SOAR event are as follows:

Each University's Responsibilities

  1. To locate their own alumni volunteer who will act as the SOAR Representative for the University.

    The SOAR representative's must be available from January to the day of the event to participate on the SOAR Committee, sub-committees, and act as a liason with the university, the Alumni Office, and the SOAR Committee itself. Each SOAR rep. must attend all meetings, including the SOAR Representative's assistant.

    On the day of the event, the SOAR rep., the SOAR rep. assistant, and the volunteers will work cooperatively with the other universities by operating their own registration table at the event site, welcoming alumni to the event, handing out name tags, running events, security, putting up university banners, event signs, etc.

    The total number of hours a SOAR rep. will need to devote to the SOAR Committee, the sub-committees, over the six months, and on the day of the event will total no more than 15 hours or less. Because we have done this event now since 1997 it has become easier to organize and be more successful.

  2. To locate three alumni who are to help the SOAR rep. on the day of the event.

  3. To provide a support fund for the event in the amount of $200.00 and 20 gift packages of a value determined by the University itself.

    The support cheque is used to offset all costs involved with organizing the event. The gift packages must be made available prior to the event so they can be handed out to the first 20 alumni who register for the event. The university can decide what items they would like to put into the gift packages and the limit of the cost. The support fund cheque should be made out to "SOAR BC" and is sent to your SOAR Rep. who in turn will hand it over to our SOAR Committee Treasurer.

  4. To help the SOAR rep. locate an assistant who will help the rep. with committee meetings and sub-committees.

  5. To create invitations to the event and send them to alumni in the area.

    Information for the invitations is provided by the SOAR Committee (i.e. date of the event, sponsors logos, list of other universities attending the event, special guest appearences of VIP's from the university that will attend the event, etc.). The official SOAR logo for each year will be sent and any sponsors who are providing a great deal of support for the event have their logo included on the invitations. The number of alumni that will receive the invitations is decided by the university Alumni Office.

  6. To provide name tags with the university name on it to be given to the alumni as they register. These name tags allow the alumni access to the event.

Please note the SOAR Committee and the SOAR event are totally volunteer driven and Universities are the main source of support for this event!
